TRANSACTION COORDINATOR (MULTIPLE STATES)

Summary
Voigt & Associates, LLC seeks an experienced Transaction Coordinator to handle files for our real estate clients. This position requires both the ability to take detailed direction, as well as to complete tasks with minimal direction. The Transaction Coordinator will be a primary liaison between all parties to the transaction. Voigt & Associates, LLC manages files for agents in 14 states - the TC will be trained on and assigned files for several states (likely including TN, MS, VA, TX, PA, and/or MD). Applicant must be based in EST or CST.

Key Outcomes

  • Efficiently manage and oversee an average of 60-80 files monthly, ensuring all deadlines are met and documentation is accurate and complete

Key Duties

  • Manage the real estate transaction from contract to close

  • Track all deadlines and milestones in the transaction and remind parties of deadlines

  • Order and Coordinate inspections, Walk-Throughs, and Closings

  • Under agent's supervision, draft real estate addenda and collect signatures.

  • Order home warranties.

  • Provide outstanding customer service and communication

  • Review documents for completeness and submit to agent's brokerage for compliance approval

  • Follow up with lender, title company/closing atty, and cooperating agent to ensure all parties are on track

  • Obtain and Review settlement statements prior to closing for accuracy

  • The TC will be expected to use Voigt & Associates' Transaction Management system, including checklists, email templates, and protocols.

  • The TC will have intake specialist support for all front-end data entry.

  • The TC will manage 60-80 files at a time. You will be trained to work files from several states

  • The TC will perform both contract to close and pre-listing work.

Requirements

  • Preference given to applicants that have working knowledge of the Open to Close platform

  • Preference given to applicants with experience working with agents from varying brokerages (for example, KW, eXp).

  • Positive, enthusiastic attitude

  • Reliable and efficient

  • Min 1 Year Experience as a TC

  • Strong familiarity with Real Estate contracts

  • Strong familiarity with preparing listing agreements and doing MLS data entry

  • Experience with the usual contract management systems, such as dotloop, docusign.

  • High level of attention to detail

  • Customer service driven

  • Professional and well spoken both on the phone and in writing

  • Tech savvy and able to troubleshoot independently

  • Fully set up for remote work, including high speed Internet connection, excellent cell phone service, contingency plans in place for Internet outages, weather events, etc.

  • Loves checklists and tasks-oriented work

  • The TC will be 1099, but will need to be reachable Monday through Friday 8 am to 5 pm EST. You will be moved to W2 after a probationary period.

Voigt & Associates, LLC provides administrative support to real estate agents in over a dozen states. We specifically offer Transaction Coordination and Listing Coordination services. Voigt & Associates, LLC has been growing since 2017 and is now in process of another expansion.

Voigt & Associates, LLC seeks a Real Estate Administrative Assistant to be an integral part of our team and be of direct support to the owners. This role is considered just above entry-level and has potential for growth into an Executive Assistant role or TC role if the candidate shows interest.

Duties

  • Support the owners wherever needed. This includes following up on emails, scheduling emails, general clerical/typing, research and solving problems, and completing real estate transaction tasks

  • Answer phones, help customers where able, direct callers to other parties if needed

  • Data entry - instruction sheets are provided, but we work with over 2 dozen different real estate contracts and the admin will need to have a firm grasp of real estate contracts and procedures. Data is entered into our TC software we use to process files.

  • Act as a floater when TCs are unavailable, including monitoring their email. Assisting TCs where requested, which will include scheduling inspections, researching lender/title company contact info, etc.

  • Update contacts in CRM, add notes, file emails, and set up follow ups for the owners

  • Assist with back end documentation. Clean up Google docs, update spreadsheets

Requirements

  • At least 6 months real estate experience

  • No real estate license

  • Exceptional attention to detail and problem solving abilities

  • Ability to work in super fast paced environment

  • Fantastic communication skills, including the ability to send typo-free, grammatically correct, emoji-free emails

  • Excellent home office setup, including high speed wifi and dedicated office space

  • Company-provided computer and cell phone.
